Email Preferences
Statistics
Statistics show the number of occurences of each search term, per day, and can be used to identify the success rates of each of your criteria. The statistics can be located at the end of each daily email attachment.
Attachment Format
This area allows you to choose the actual format of the daily emails which are forwarded to you. The daily emails are automatically sent in HTML format unless another option is selected. If you encounter difficulty in receiving files in HTML format, you may wish to choose the basic ‘TEXT’ format (ie notepad style). If the size of the daily attachment is posing a problem, we can amend the format to ‘ZIPPED HTML’ which will help to condense the size of the daily attachment.
When making any changes to your existing email preferences, always ensure that you click on the ‘save’ option to update any changes in the Tracker database.
Display headlines only
Choosing this option means you that your Tracker alert will contain the headlines of each notice only. To view the full contents of each notice simply click on the notice headline and then log in to view online.
Contract Index
A summary of all contract titles which have been sent to you for that day is located at the beginning of each daily Tracker attachment. By choosing the ‘short’ description option, the summary will only give details of the contract titles. By choosing the ‘long description’ option, the summary will include the contract titles together with some brief information relating to the contract.
Countries
From the drop down list, select the country or countries you wish to receive contracts from. If you do not select any countries you will receive contracts from all countries by default.
If you want to receive contracts from a certain country or region, you first need to select the relevant geographical area (e.g. Asia, Europe, UK etc). By clicking on the 'add all' option, you will ensure that you receive relevant contracts from ALL countries and/or regions in the selected geographical area.
If you only want to receive contracts from certain INDIVIDUAL countries within a particular geographical area, click on the relevant country in the list and select 'add country'. If selecting more than one country from a particular area, hold down the Ctrl key on your keyboard whilst selecting additional countries.
Keywords
To reinforce CPV codes, you can enter key words and phrases applicable to your company's products and services. Keywords are Non–Case Sensitive. Single keywords entered within the keywords field will return permutations of the same word and are non–case–sensitive. For example 'Service' will also return 'service', 'services', 'Service' or 'Services' but not 'servicing'.
If you enter a phrase within the keywords field such as "property service" this will only return contracts containing that particular phrase; again, this is non-case-sensitive and so would also return "Property Service".
Smaller words that can be contained in part of a larger word (eg bus, car, pen) should be entered into the "Exact Keywords" area of the profile to prevent possible receipt of irrelevant contract leads.
Exact Keywords
Abbreviations, Acronyms, Company Names etc
This area allows you to search for abbreviations, acronyms and company names as well as exact matches of the keywords you've entered. These words cannot be left open ended and it will only search for exact matches. This field is case–sensitive. For example, if you are looking for contract opportunities relating to Information Technology, you would enter this phrase in the keywords area. Had you on the other hand entered 'IT' in the keywords area, this would return all contract opportunities containing words starting with the letters 'it', e.g. 'it', 'item', 'iteration' etc.
'Pen' will find this word only and not 'penicillin', 'pension', 'pencil' etc. If looking to return contracts containing the exact phrase 'property service' and also the plural of this phrase 'property services' then BOTH phrases should be entered into the exact keywords field.
Omit Keywords
As well as choosing the type of keywords/phrases you do wish to receive, you may also elect to omit keywords/phrases.
For example, you may work in the construction industry and have the keyword 'construction' contained within your profile, however you may not deal with the construction of roads. Therefore by including 'roads' in the Omit Keywords section you will only receive contracts related to construction excluding any containing the Omitted Keyword 'roads'.
CPV Codes
CPV (Common Procurement Vocabulary) Codes have been specially developed by the European Union in an attempt to standardise the classification of goods and services for the benefit of both suppliers and buyers.
CPV Codes help to provide the most reliable and accurate method of locating relevant contract opportunities. By using the CPV Code search function, you can select codes relevant to your products and services and paste them into your search form. You can conduct as many searches as necessary.
Industry Sectors
Industry sectors are used to populate your contract alert profile with the relevant CPV codes. We recommend that you browse through all the available sectors and select all those that may apply to your organisation.
Contract Type
You have the option to search for new contract notices and/or contract awards. Contract awards provide notification of the award of contracts to the successful tender. You will also be able to identify subcontracting opportunities and monitor the activities of your competitors.
Contract notices are new opportunities submitted by an awarding authority. To receive both contract notices and contract awards selectAll.
Contract Type
Choose the type of contract from the drop-down menu. Works, Services or Supplies.
Nature of Contracts
Works
Works contracts have as their object either the execution, or both the design and execution, of works. A “work” means the outcome of building or civil engineering works taken as a whole which is sufficient of itself to fulfil an economic or technical function.
Supplies
Supply contracts deal with the purchase, lease, rental or hire purchase, with or without option to buy, of products to the contracting authority.
Services
Service contracts have as their object the provision of services to the contracting authority.
Contract Sector
1. Public Sector Contracts
Public sector organisations including central government, local authorities, health, education, defence, registered social landlords, housing associations, transport and emergency services.
2. Private Sector Contracts
Any profit-making business, which isn't connected to a government body
Service: Ranges from business and legal services to cutting grass.
Works: Construction, Engineering - associated trades.
Supply: Goods i.e. material objects
High Value Contracts
Contract opportunities that are typically worth over GBP 100,000 and submitted via the Official Journal of the European Union (OJEU), will be categorised as High Value Notices.
Select 'yes' to return only matching high value contract opportunities.Select 'no' to return matching contract opportunities that are not categorised as high value.
Select 'both' to return all matching contract opportunities regardless of value.
Date
The date field is the date on which the contract was published. Choose the day, month and year from the drop down lists.
If you choose to leave the date field blank, the database will automatically search for contracts from the past three months. To locate contracts for a specific date, enter the relevant date in the 'from' and 'to' fields of the date range.
Contract Statistics
By using the contract statistics feature you can review all of your alert profile results from up to the previous 12 months (or from the start date of your subscription). Adjust your alert profile, if required, to improve the volume and relevancy of the tenders you receive.
Hover over one of the circular points on the line graph to display the date and number of contracts returned. Click on one of the points to view the contract search results.
Period to search
Select a radio button for the period you wish to search and the graph will update with the correct search period.
Define your search criteria
You can also create additional searches using different profile criteria which can be loaded in to the graph for you to review in comparison with your alert profile.
Define your search criteria by completing information in any/all of the following areas:
a. Countries
b. Keywords
c. CPV codes
d. Contract types
You can either save your search profile or load your search profile.
Selecting the save this search profile button will display the save search page where you will be asked to enter a search name.
Selecting load search will clear the graph of any existing data and will update with the search criteria you have just defined in the search form.
Selecting load additional search will update the graph with an additional line based on the search criteria you have just defined.

- Run a saved search profile to view matching contract opportunities.
- Edit a saved search profile and amend your search criteria.

Change your profiles that receive daily email alerts
Choose a saved search from the drop down menu to change the profile that your daily email alert is run against.
Rename your saved searches
Choose a saved search from the drop down menu and rename the search by entering a new title and selecting OK.
Contract Search
Find contract notices and awards by simply entering your search criteria adding the keywords that relate to the products and services that your organisation offers.
Alternative search methods are possible using the Advanced Search to enter more detailed search criteria.
Profile History
This enables you to view results of previous email alerts by selecting a bar featured on the Profile History graph.
Flagged Contracts
Flag contract opportunities that are of interest to you. These will be listed according to the number of days left to respond - ensuring that you need never miss important deadlines.
Recently Viewed Contracts
A list of contracts which you have recently viewed on the database.
Contract Submission Form
Use this form to submit your own contract opportunities for other suppliers to view.
Title
Title of the contract announcement e.g. Cleaning Services (Note that this should reflect the overall description of the contract).
Contracting Organisation
The name of the organisation issuing the contract.
Contract Type
Choose the type of contract from the drop-down menu. Works, Services or Supplies.
Search Contract Description Only
By selecting Search by Contract Description Only, you will ensure that you only receive contract opportunities where your keywords appear in the body text of the contract (ie the name/address of the awarding authority will be disregarded).
This option will be useful if you have a keyword in your profile which could appear in a different context as part of the awarding authority's address eg road).
Delivery To
The area applicable for delivery of this contract. You may add more than one area to cover multiple locations.
Contract Reference
If you have a reference number you wish suppliers to quote when responding to the advert you can enter it into this area.
Estimated Value Of Requirement
Insert the estimated value of the requirement by selecting the appropriate value banding category from the drop-down menu.
Deadline for Expression Of Interest
Insert the deadline date by which suppliers are required to submit their expressions of interest by clicking on the pop-up calendar.
Address To Which They Must Be Sent
Address to which the tender documents⁄expressions of interest must be sent to.
Other Information
Any additional information you wish to include.
Market Monitor
You can enter keywords and phrases applicable to the nature of the news stories you are interested in. Keywords and phrases are not case-sensitive. Keywords can either be complete or open-ended, e.g. ‘comput’ will find news stories containing the words ‘computer’, ‘computers’ and ‘computing’. This applies to phrases as well, e.g. ‘Management Consult’ will find ‘Management Consultants’, etc.
Our news desk classifies each story by the continent issuing the story and the continent that the story involves. This allows you to also add continents into your keywords to ensure that you receive only the news stories related to the continents you are interested in.

CPV Report
This report details the number of times each Common Procurement Vocabulary (CPV) code has appeared in contracts published within the Tracker database during the previous three months.
This report is based on a CPV code hierarchy structure with high-level codes providing a broad description displayed on the first page of the report. Select a CPV code description to view further subcategories defining particular products or services.
Awarding Authority Report
This report details the number of times each awarding authority has appeared in contracts published within the Tracker database during the previous three months. By identifying those awarding authorities which publish larger volumes of tender opportunities, you can specifically target them via the Tracker online search for other tender opportunities which may be of interest to you.
Region Code Report
This report details the number of low and high-value contracts which have been published across each UK region within the Tracker database during the previous three months.
You can choose to sort the results by the following options:
- Alphabetically by region code
- Number of low-value contracts published
- Number of high-value contracts published
- Total number of contracts published
Why does this contract match my profile?
This enables you to view keywords, CPV codes and countries (or regions) in this notice that may match one or more from your Contract Alert Profile.

Spell Check
Please note that in order to spell check a word you must do so before adding to your profile. The OJEU reference field is used for searching for the contract reference number, examples of which are 00/S 181-117217/EN or (00/S 181-117217/EN) and should be entered with spaces in the appropriate places.
